Which copy is binding

If you buy CoachSheetsHQ, the terms that actually govern your purchase are the private, accepted Business Terms PDF (version 1.0, dated 14 June 2026) that you receive and confirm in writing before payment. This public page is a plain-English summary of that document for site visitors. It is not itself a contract, and it does not replace the copy you accept before payment.

1. Who these terms are between

Supplier: Theo Fontaine, trading as CoachSheetsHQ. Contact: coachsheetshq@gmail.com. Customer: the coach named in the written acceptance and Stripe payment record. Buying CoachSheetsHQ means confirming it is for use in a coaching practice, not for personal or household use.

2. What is supplied

The purchase includes the CoachSheetsHQ v1 master Google Sheets workbook, plus the guides, walkthrough video, and handoff materials listed in the delivery message. It is an administrative and tracking system. It does not provide medical diagnosis, treatment, emergency services, or personalised medical advice. The coach remains responsible for all coaching, programming, nutrition, supplement, compound, health, and professional decisions.

3. Licence and ownership

After payment, the coach gets a non-exclusive, non-transferable licence to use the master workbook in their own coaching practice, make one separate workbook copy for each of their own clients, add their own coaching content to those copies, and share each copy with that client and people legitimately involved in that client's coaching. One workbook holds one coaching client only.

The coach must not:

  • sell, sublicense, publish, distribute, or give the master workbook to another coach, business, or third party;
  • sell or distribute blank or reusable copies of the workbook;
  • use one workbook for more than one coaching client;
  • remove CoachSheetsHQ ownership notices and present the underlying system as their own; or
  • extract and commercially reuse the workbook system, formulas, automation, documentation, structure, or design as a competing or separate product.

The coach controls their delivered Google Sheet copies, sharing permissions, and data. CoachSheetsHQ keeps ownership of the underlying product, documentation, design, formulas, automation, branding, and other intellectual property.

4. Payment, delivery, and acceptance

The price is £300, one-off. It is not a subscription. The Stripe Payment Link is sent after these terms are accepted, and shows that amount. Payment is due before delivery. Delivery happens when CoachSheetsHQ sends the complete Google Drive pack. The coach should promptly confirm the folder opens and the workbook can be copied to their own Google Drive. Acceptance happens in writing, before payment, and CoachSheetsHQ keeps the acceptance message, payment record, terms version, and delivery record as evidence of the agreement. No separate signature form is required.

5. Faults and refunds

Because the workbook and digital files can be copied after delivery, payments are normally non-refundable once the complete pack has been supplied. If the purchased v1 release has a genuine material fault that stops it from working substantially as described, the coach reports the fault with enough information to investigate it, CoachSheetsHQ first attempts to repair the fault or provide a working replacement, and if the fault cannot reasonably be remedied, CoachSheetsHQ refunds the affected purchase. This does not cover problems caused by unauthorised edits, deleted formulas, changed workbook structure, unsupported third-party modifications, loss of Google account access, or use contrary to the supplied guides. Nothing in these terms excludes rights or liability that cannot legally be excluded.

6. Included support

The purchase includes 90 days of ordinary setup and product support from the delivery date. CoachSheetsHQ aims to give an initial response within one UK business day. That is a response aim, not a guaranteed resolution time. Instagram is fine as a first contact point; sensitive information, detailed files, or Google access invitations should move to coachsheetshq@gmail.com.

Included support covers:

  • reasonable questions about setup and the documented workflow;
  • diagnosis of reported workbook problems;
  • guidance on using the supplied recovery process; and
  • confirmed critical product defects in the purchased v1 release.

The following may need a separate quote:

  • major new product versions or feature upgrades;
  • migration of live client data to another version;
  • bespoke features, layout changes, or integrations;
  • extensive data recovery or manual reconstruction;
  • training or administration performed on the coach's behalf; and
  • repair of damage caused by unauthorised formula, structure, or system-sheet changes.

Any paid work is explained and agreed before it begins.

7. Updates

Confirmed critical defect fixes for the purchased v1 release are made available where reasonably practicable. This does not include an automatic entitlement to every future feature, major version, redesign, migration service, or compatibility upgrade. Google Sheets, Google Drive, Stripe, Instagram, and other third-party services are outside CoachSheetsHQ's control, so old workbook versions cannot be guaranteed to stay compatible with every future third-party change.

8. Coach responsibilities

The coach is responsible for:

  • keeping one unused clean master and making a fresh copy for each client;
  • checking entries and outputs before making coaching decisions;
  • controlling Google access, account security, backups, retention, and deletion;
  • providing clients with appropriate privacy information;
  • establishing a lawful basis, and any additional condition needed, to process health or other sensitive information;
  • obtaining any required permissions from their clients;
  • reporting problems without unnecessarily exposing client information; and
  • complying with the laws and professional obligations that apply to their coaching service.

9. Privacy

The public Privacy page summarises how CoachSheetsHQ handles personal information. The private Business Terms PDF accepted before payment is the fuller copy that governs the purchase.

10. Optional support access

Support starts with the minimum information reasonably needed. If a coach authorises temporary access to a client workbook, the coach remains the controller and CoachSheetsHQ acts as the processor. 11. Liability

CoachSheetsHQ does not exclude liability where exclusion is prohibited by law. Subject to that, CoachSheetsHQ is not responsible for coaching decisions, client outcomes, inaccurate or incomplete entries, unauthorised workbook changes, lost Google account access, third-party service outages, or the coach's own management of privacy and access. CoachSheetsHQ is not liable for indirect or consequential business loss. Total liability arising from the purchase does not exceed the amount the coach paid for the affected product, except where that limit is not legally permitted.

12. Ending the licence

CoachSheetsHQ may end the licence after a material breach, including unauthorised resale or distribution, if the breach is not corrected within 14 days of written notice. The coach must then stop creating new workbook copies. Existing client copies may continue only long enough to allow an orderly transition away from the product, and must not be redistributed.

13. General

  • Changes to this agreement must be recorded in writing.
  • If one provision is unenforceable, the rest continue.
  • The coach may not transfer this agreement without written permission.
  • These terms and any dispute are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, subject to any mandatory rights that apply.
