Who this covers

Theo Fontaine, trading as CoachSheetsHQ, is responsible for personal information used to sell, deliver, administer, and support CoachSheetsHQ. This page summarises that handling for visitors to this site. If you buy CoachSheetsHQ, the fuller privacy and data-processing terms are set out in the private, accepted Business Terms PDF (version 1.0, dated 14 June 2026) you receive before payment.

This website

These public pages do not currently run marketing analytics or advertising cookies. If that changes, this page will be updated to say so.

What is collected

For coaches who buy or contact CoachSheetsHQ, this can include:

  • name, coaching-business name, Instagram account, email address, and contact details;
  • acceptance messages, order details, Stripe payment references, invoices, and delivery records;
  • support messages, screenshots, technical details, and product-version information; and
  • information temporarily visible when a coach authorises access to a workbook or support copy.

What it is used for

This information is used to:

  • take payment and deliver the purchased product;
  • perform and document the agreement;
  • provide requested support and diagnose faults;
  • protect product security and intellectual-property rights; and
  • meet applicable tax, accounting, and legal obligations.

The main lawful bases are performance of the agreement, compliance with legal obligations, and legitimate interests in operating, securing, and supporting CoachSheetsHQ.

Who it is shared with

Information may be handled through service providers used for payment, email, communications, Google Drive delivery, file storage, accounting, and professional advice. This currently includes Stripe, Google, and Instagram/Meta where those services are used. CoachSheetsHQ does not sell personal information. Some providers may process information outside the UK; where a restricted transfer applies, CoachSheetsHQ relies on an applicable transfer mechanism or other lawful safeguard. To ask for information about the safeguards that apply, or for a copy of them, email coachsheetshq@gmail.com.

Retention

Records are normally retained as follows:

  • transaction, agreement, invoice, and delivery records: six years;
  • routine support correspondence: twelve months after the issue closes; and
  • temporary workbook files, exports, or screenshots: no more than seven days after the support issue closes, unless a longer period is legally required.

Optional support access

CoachSheetsHQ does not keep routine access to live client workbooks. Support normally starts with the minimum information reasonably needed, such as a description, a cropped screenshot, or a sanitised support copy. If that is not enough, CoachSheetsHQ may ask for temporary access to the relevant live workbook. For that activity, the coach stays the controller of their client's personal information and CoachSheetsHQ acts as the coach's processor, under the data-processing terms set out in the accepted Business Terms document. Access is used only to investigate and resolve the reported issue, and temporary support material is normally deleted within seven days of the issue closing.

Your rights

Individuals may have rights relating to access, correction, deletion, restriction, objection, and portability, depending on the circumstances and lawful basis.

Your right to object

You have the right to object to the use of your personal information. Where CoachSheetsHQ relies on legitimate interests, you can object at any time, and the use will stop unless there is a compelling reason to continue it or it is needed for legal claims. Whether this right applies, and what happens when it is used, still depends on the circumstances and the lawful basis.
